How difficult is it to integrate Dropbox and Salesforce?

Yes. The latest release was on October 14, 2021 so it's an updated managed package available on the AppExchange. As mentioned above, using this package will give you the basic functionality but you will still need the help of a Salesforce Administrator to build out workflows and automation rules.

Can I use Zapier to integrate Dropbox and Salesforce?

Yes. Dropbox does have a tool on Zapier, which is a logic-based integration platform that non-technical users can leverage to build out integrations. If you are familiar with Zapier, this may be an even better option than the AppExchange package, since you can use Zapier to build out some of the automations with other applications.

However, you may still want to consult a Salesforce Administrator to build out workflows and automation rules.

The step-by-step guide to integrate Salesforce and Dropbox.

Dropbox for Salesforce: Admin Setup

The Dropbox for Salesforce integration allows teams to access and share their Dropbox files within Salesforce. You must be on a Dropbox Business plan to use the Dropbox for Salesforce integration.

Step 1: Install Dropbox for Salesforce

1. Go to the Dropbox for Salesforce listing.
2. On Dropbox for Salesforce, click Get It Now.
3. Choose where you’d like to install Dropbox for Salesforce.
(Note: Installing in your production environment gives access to all your end users but installing it in a sandbox environment creates a copy of production, which you can use to test new apps before deploying them to your users.)

4. Check the box to agree to the terms and conditions, and then click Confirm and Install.
5. Click Continue.
6. On the page “Step 1. Approve Package API Access," click Next.
7. On the page “Step 2. Choose security level," select a security level, and click Next.
8. On the page “Step 3. Install Package," click Install.

Step 2: Connect and configure Salesforce to Dropbox

1. Sign in to your Salesforce Admin account
2. Select the Dropbox Options tab from the Salesforce App Launcher.
3. Click Connect to Dropbox.
(Note: You should be redirected to Dropbox; click Continue.)

If you're using Dropbox Business, you can choose to connect the rest of your team. This works by matching the email address of the Salesforce user with the user email address in your Dropbox account. If you decide not to link your team, members will be prompted to connect their Dropbox account when visiting a page in Salesforce.
This prompt will only appear once.
When prompted, instruct your users to select Create Remote Site Setting.

4. Next, configure your page layouts by selecting Update Layouts. This will add the Dropbox component to the Account, Contact, Case, Opportunity, and Lead objects page layouts.

Step 3: Share the Salesforce Documents folder

To share the Salesforce Documents folder with your team, you’ll first need to generate this folder in your Dropbox account.
1. Go to a record that has Dropbox for Salesforce enabled.
2. Click Setup.
3. Upload a file from your computer to the Dropbox for Salesforce widget via drag and drop or the Add Files button.
4. This file will upload to Dropbox, and the Salesforce Documents folder will be created in your Dropbox account.

After creating the Salesforce Documents folder, you can share it with the rest of your team:
5. Sign in to Dropbox with the same account you used to set up Dropbox for Salesforce.
Note: If you’re unsure which account is connected, click Dropbox Options. At the top of the page, under Dropbox Connection Settings, you can see who you are Connected As.

6. Click Share.
7. Enter the email addresses of the colleagues you wish to share the folder with, and then click Share.

How to Set Up the Hubspot Salesforce Integration

The Hubspot Salesforce integration is harder to set up than a lot of integrations, although it doesn’t require technical knowledge to get started, there are 19 steps to completing it. Before starting, make sure you have the following permissions.

Salesforce Requirements

  • A Salesforce edition with API access, or Salesforce Professional.
  • Be a Salesforce system administrator, or be assigned the HubSpot Integration Permission set (in the Available Permission Sets section, select HubSpot Integration Permissions).
  • Have all of the following user profile administrative permissions:
  • API Enabled.
  • View Setup and Configuration enabled.
  • Modify All Data on any objects (accounts, campaigns, contacts, leads, or opportunities) which will sync to HubSpot.
  • Have the Modify Metadata permission (to view data in the HubSpot Visualforce window on Salesforce lead and/or contact records).
  • Have the Download AppExchange Packages permission.
  • Have the task Type field be Visible to their user profile.

How to set up the Hubspot Salesforce Integration step-by-step

  1. In your HubSpot account, click the Marketplace icon marketplace in the main navigation bar, then select App Marketplace.
  2. Use the search bar to locate and select the Salesforce integration.
  3. In the upper right, click Install app.
  4. The connector wizard will open. If you're connecting HubSpot to a Salesforce sandbox, select the Yes, this will connect to a sandbox checkbox.
  5. Click Log in to Salesforce.
  6. In the pop-up window, enter your Salesforce credentials and click Log In. After logging in, you'll be redirected back to the connector wizard in HubSpot.
  7. Next, install HubSpot in Salesforce. Click Start the Salesforce package installation to begin.
  8. You'll be redirected to Salesforce to install the HubSpot integration package. Select Install for All Users, then click Install.
  9. In the dialog box, select the Yes, grant access to these third-party web sites checkbox, then click Continue.
  10. Salesforce will then install the HubSpot integration package. This installation may take up to ten minutes.
    a) You may see a message: This app is taking a long time to install. You will receive an email after the installation has completed.
    b) Click Done and wait for an email from Salesforce with the subject Package HubSpot Integration Install Successful.
    c) Once you received the email, the installation should be successful.
  11. 11. After the package has been installed in Salesforce, navigate back to the HubSpot connector wizard and click Next.
  12. Next, add the HubSpot Visualforce module to Salesforce. This module shows the contact's likelihood to close, and allows you to view and filter contact activity and enroll contacts in HubSpot workflows. Click Add HubSpot to Salesforce.
  13. Follow the step-by-step instructions in the connector wizard to add the HubSpot Visualforce module in Salesforce, or learn more about adding the HubSpot Visualforce window to your Salesforce page layouts.
  14. When you're done, click Next.
  15. Next, choose how your data will sync between HubSpot and Salesforce.
  16. If you select Recommended setup, click Review settings.
  17. If you select Advanced setup, click Next.
    a) On the next screen, set up your contact sync settings:
    i) Click the Choose which contacts to sync dropdown menu and select All contacts to sync all contacts to Salesforce, or select a HubSpot list to use as an inclusion list to sync only those contacts to Salesforce.
    ii) Click Next.

    b. On the next screen, set up your activity and task sync settings:
    i) Click to toggle the Salesforce task sync switch on to automatically create a task in HubSpot when a task is created in Salesforce.
    ii) In the Timeline sync table, select the Sync checkbox next to HubSpot events to sync to Salesforce as tasks, and click the Salesforce task type dropdown menu to select the task type it will be created as in Salesforce.
    iii) Click Next.

    c) On the next screen, set up your object and property sync settings:
    i) Click the Contacts, Companies, or Deals tab to configure the sync type for standard properties for that object. In the Companies and Deals tabs, you may need to click to toggle the Enable company/deal sync switch on before you can create field mappings.
    ii) The table displays the standard HubSpot object properties and their Salesforce field equivalents. For each property sync, select the sync type: Prefer Salesforce (default), Always use Salesforce, or Two-way. Learn more about the sync types for Salesforce field mappings.
    iii) Click Next.
  18. Lastly, review your selected data sync settings. To change the settings for a data sync type, click Change. When you're done, click Finish setup and begin syncing.
  19. You'll be redirected to your Salesforce integration settings, and data between HubSpot and Salesforce will begin syncing.
